Job Summary
The Finance and Administration Assistant performs an integral role within the Finance Team, providing administrative support along with clerical task in facility administration, fleet management, general affairs and document administration. The position works closely with Operations Department for general office management and supply management. The Finance and Administration Assistant reports to the Finance and Administration Manager.
Responsibilities
1. Organizes and maintains filing systems, both electronic and physical, for the country office, and safekeeps the official documents, permits and certifications of the country office.
2. Provide support in preparing documents for internal and external, and donor audits.
3. Ensure safekeeping of signed checks, handle the issuance of checks and transfers to suppliers
4. Work with the Operations Unit to manage general office and ensure timely replenishment.
5. Coordinate and arrange business travel for employees, ensuring cost-effective and efficient arrangements for flights.
6. Act as Secretary to the Senior Management Team (SMT)
7. Ensure the minutes of SMT meetings are accurately recorded, updated, and properly maintained.
8. Adheres to and upholds the standards and principles of Child Safeguarding Policy and Code of Conduct to protect the reputation of the organization as a child-right organization and guarantee the fundamental rights of all persons.
9. Performs other tasks, as necessary, that may be directed by higher authorities to address the needs and demands of operations, and delegated, to address a specific matter or accomplish a special goal.
Essential qualifications
1. Graduate of any business courses, communications or literature or another course may be considered if he/ she has the experience and competency requirements of the post.
2. With at least one (1) year relevant experience.
3. It is preferred the point of hire is within the area the position is located.
